Events
- When you attend one of our events, we require:
- your name;
- your email address;
- in some cases, your postal address;
- in some cases, information about your organisation and role; and
- in some cases, payment information.
- We will collect this information as part of your confirmation of attending an event.
- Our use and storage of personal data in relation to events is based on the grounds of performance of a contract (i.e. your attendance at the event).
- We use this personal data to effectively organise and administer the event. Personal data will only be shared with other organisations where it is necessary to do so for this purpose. This includes, for example, providing the names of attendees to venues we are using.
- We will retain this information only for as long as we require is for these purposes. More information about how long we store information is available in our Retention Policy.
- We may use external platforms to manage some of our events. The details of Eventbrite, one platform that we use, can be found at the link above.
- If you attend our events as part of the group of presenters, sponsors or speakers, we may note your involvement in our emails relating to the event and on communication platforms, including social media. Such platforms may continue to store and use personal data according to their own processes.
How We Use Your Personal data
- The purposes for which we use your information and the legal basis under data protection laws on which we rely to do this are explained below.
Where there is a LEGITIMATE INTEREST
- We may use and process your personal data where it is necessary for us to pursue our legitimate interests as a business, or that of a third party, for the following purposes:
- for marketing activities;
- for analysis to inform our marketing strategy, and to enhance and personalise your customer experience (including to improve the recommendations we make to you on our website);
- to correspond or communicate with you;
- to verify the accuracy of data that we hold about you and create a better understanding of you as a user of our services; 5. for network and information security in order for us to take steps to protect your information against loss or damage, theft or unauthorised access.
- for prevention of fraud and other criminal activities;
- to comply with a request from you in connection with the exercise of your rights (for example where you have asked us not to contact you for marketing purposes, we will keep a record of this on our suppression lists in order to be able to comply with your request);
- to assess and improve our service to customers through recordings of any calls with our contact centres;
- for the management of queries, complaints, or claims; and
- for the establishment and defence of our legal rights.
Where there it is related to the PERFORMANCE OF A CONTRACT or as a LEGAL REQUIREMENT
- We will use your personal data to comply with our contractual and legal obligations: (i) to identify you when you contact us; (ii) to verify the accuracy of data we hold about you; (iii) where we reasonably believe that you are or may be in breach of any applicable laws, we may disclose your personal data to relevant third parties, including to law enforcement agencies.
Where you have provided CONSENT
- We may use and process your personal data where you have consented for us to do so for the following purposes
- contact you via email or text with marketing information about our services if you (i) register for an account with us online and indicate that you would like to receive such marketing from us; (ii) sign up to our newsletters and marketing and communications emails via our website(s) or other medium where available; or (iii) when you refresh your marketing preferences when responding to a request from us to do so];
- contact you via email or text with marketing information about our services if you (i) register for an account with us online and indicate that you would like to receive such marketing from us; (ii) sign up to our newsletters and marketing and communications emails via our website(s) or other medium where available; or (iii) when you refresh your marketing preferences when responding to a request from us to do so; and
- share your data with our recommended third party partners for them to contact you with marketing information about their products and services.

Your Rights
- Where we use or store personal data relating to you, you have the following rights:
- the right to be informed that your personal data is being used or stored by us. This Privacy Notice advises you of this;
- the right to access the personal data we hold which relates to you;
- the right to object to direct marketing by unsubscribing from it;
- the right to object to processing carried out on the basis of legitimate interests;
- the right to erasure of information we use or hold that relates to you;
- the right to data portability;
- the right to object to decisions being taken by automated means;
- the right to have your data rectified if its inaccurate or incomplete; and/or
- the right to have your data restricted or blocked from our processing.
